Toutext is a company specialized in selling products for pharmacies. For 65 years, the company has been supporting its customers with a wide range of products: office supplies, bags, labels, labelling machines, customizable items, and standard printed materials.

Led by David Lude, Toutext operates with a small team of four people. Each team member therefore plays an important role in the company’s daily operations, whether it is managing orders, following up with customers, preparing products, handling purchases, managing stock, or accounting.

Before working with Nalios, Toutext had already been using Odoo for several years. The company was therefore familiar with the tool and used it daily, mainly for sales, invoicing, accounting, and the website.

But over time, the old Odoo database reached its limits.

The answer was to start again with a cleaner, more modern, and more scalable Odoo database, with the support of Nalios.

The Initial Problem: An Old Odoo Database That Had Become Too Limited

Before the project with Nalios, Toutext was working on an old community version of Odoo.

This database had been implemented with another partner and included many specific developments. At first, this made it possible to meet certain needs. But over time, the environment became difficult to scale.

The modules used were mainly related to sales, the website, and invoicing.

“We used sales and accounting a lot, the website a little bit, but it more or less stopped there.”

For David Lude, the problem was not Odoo as a software. The problem came rather from the existing database, which no longer made it possible to properly track the company’s essential flows.

“Everything related to purchases, inventory, stock, accounting, business management, was strictly impossible.”

This limitation had a direct impact on the overall visibility of the business. Toutext could continue working, but the company lacked the visibility needed to properly manage its purchases, stock, and development.

“There was no long-term vision for the company like that.”

On the operational side, the limitation was also visible.

Loris, who joined Toutext during the transition to the new version, quickly identified a blocking point: the absence of real stock management.

“The big limitation was that there was no stock management at all.”

As a result, some orders could reveal a lack of availability too late.

“All of a sudden, we would launch an order and there would be more demand than products in stock.”

For a company that sells physical items, manages several warehouses, and prepares orders on a daily basis, this lack of visibility became a real obstacle.

Why Start Again with a New Odoo Database?

Toutext could have tried to continue fixing the old database.

But for David Lude, the company needed to start again with something stronger.

The objective was not simply to migrate to a new version. The objective was to rebuild a clearer, cleaner Odoo environment that could support the company over time.

“We were looking for a serious partner, someone with experience, who could support us.”

The need was also human and organizational.

Toutext needed a partner capable of understanding its business, guiding the team, answering questions, and building a solution that would not rely on just one person.

For David, a good ERP should allow the company to keep running, even when he is not there.

“I wanted to have a company. I told myself, if I’m not there for a week, I want someone to be able to follow the company with the data from Odoo, which is now possible, with all the modules that are now installed.”

Selina, Executive Assistant and SPOC of the project, also shared this need to start again on healthier foundations.

With the old database, the team felt limited, both technically and in terms of support.

“Before, with Odoo Community, we had an IT partner where, whenever there was an issue or something we wanted to develop, the responsiveness was not there, and I did not feel supported.”

One of the main objectives was therefore to rebuild a more modern environment, but also one that could evolve.

“What was important was to be able to start again with a new database and also be able to make Odoo evolve for the future. And there, we were really stuck.”

A New Odoo Database to cover essential flows

With Nalios, Toutext rebuilt its Odoo environment around the company’s real needs.

Today, Toutext uses Odoo to manage several key aspects of its business:

  • inventory;

  • specific price calculations.

This change allows the company to go much further than before.

“Today, we go much further in everything related to purchases, inventory, stock, stock movements, accounting, company results, expenses.”

The objective was not simply to add modules.

It was above all about building a more coherent database, where information flows better and can be used to make better decisions.

Selina also highlights the work done on the quality of the database and on how to use Odoo properly.

“The entire database has already been reviewed and cleaned. We also really had coaching on how to do things properly.”

For Toutext, this new database also opens new possibilities for the future.

“Today, it is already more modern. The version is much more recent. And now, it opens up many possibilities, both today and for the future.”

Concrete Results in daily operations


Better Business Management

The first major change concerns the overall vision of the company.

With the old database, David did not have a sufficiently clear view to manage the business on a daily basis.

Today, the data is more accessible, more structured, and more useful for making decisions.

“Today, I can say whether my company is doing well or not. I am able to say whether I can make purchases or whether I cannot.”

For a business leader, this visibility changes a lot of things.

It makes it possible to know when to move forward, when to slow down, when to buy, and how to follow the evolution of the activity.

“I can really manage the company day by day, which I could not do before.”

This is one of the major benefits of a well-implemented ERP: not only entering information, but turning that data into management tools.

Stock management is one of the most important aspects of the project.

Before, Toutext did not have a sufficiently clear follow-up of the goods purchased and sold. This could create surprises when preparing orders or checking availability.

With the new Odoo database, the team benefits from better visibility on stock movements, purchases, warehouses, and upcoming needs.

Selina particularly emphasizes the importance of being able to track the different warehouses.

“One of the things I appreciate is stock management, being able to make purchases, but also having a complete follow-up of the different warehouses we have.”

This improvement makes it possible to anticipate better, prepare orders more efficiently, and reduce areas of uncertainty.

Loris also summarizes this change very concretely.

“Now, it really allows us to see the flow live right away and know whether we need to quickly launch an urgent order.”

For a company like Toutext, where physical products are at the heart of the business, this visibility on stock is a real operational lever.

Less Paper, More Accessible Information

Another important change concerns the way teams work on a daily basis.

Loris, who is involved in order preparation, highlights the reduction of paper and faster access to information.

“We can access information in just a few clicks, which for me was not the case before.”

Before, it was sometimes necessary to search for information in several tabs or rely on handwritten documents.

Today, the team can find the necessary information more quickly, including directly from a laptop in the stock area.

“When I sometimes prepare orders, I go with the laptop and do everything directly from the laptop. I think it’s great because we don’t need to have 25 papers.”

This change may seem simple, but it has a very concrete impact.

Less paper means less risk of losing information, less unnecessary searching, and better flow in order preparation.

“Now, no, with the laptop, we really have everything on it.”

Centralized Information for Better Communication

Centralizing information is also an important point for Céline.

With the new Odoo database, exchanges with customers can be followed directly in the chatter. Information related to customers, orders, and documents is easier to find.

“What I also really appreciate is communication through the chatter, directly with customers.”

For the team, this centralization simplifies the search for information and improves the follow-up of exchanges.

“For us too, we have the information all in the same place, both for communication with the customer and also for us, to find things again.”

This allows everyone to work with better visibility, without having to search through several tools or reconstruct the history of an exchange.

Accounting That Is Easier to Follow

The new Odoo database also brings more simplicity on the accounting side.

Selina particularly highlights the impact on accounting, invoice payments, and administrative follow-up.

“It also simplifies a lot in terms of accounting and invoice payments.”

The goal is to better connect the different flows: sales, invoicing, purchases, payments, and accounting.

This centralization helps avoid breaks between the different steps of the process and makes administrative follow-up smoother.

Why Nalios? Serious and Human Support

For Toutext, choosing Nalios was not only about Odoo expertise.

The company was above all looking for a partner capable of supporting the project over time, with listening skills, availability, and a real understanding of the field.

David clearly remembers the first presentation.

“We found Nalios a bit by chance. We had a presentation from Julien and after 45 seconds, I said to my colleague, that’s it, that’s what I want.”

The collaboration with Clémence, project manager on the Nalios side, also left a strong impression on the team.

“It was fantastic, really fantastic.”

From Selina's perspective, the support stood out through availability, listening, and the ability to understand Toutext’s specific needs.

“With Clémence, the project manager, the feeling, the human contact, went very well from the start, and there was availability and listening.”

She also remembers Nalios’ ability to ask the right questions, especially when the need was not always easy to express.

“Sometimes we have a need that we have trouble expressing, and asking questions to really evaluate Toutext’s need, and not something general.”

This approach made it possible to adapt the advice and implementation choices to the company’s reality.

“The guidelines or advice on the implementation were adapted to our company.”

For Loris, the quality of the support was also a positive point.

“The answer was always clear. Solutions were always proposed.”

This responsiveness allowed the team to move forward more calmly during the transition.

“It was during the same day, or the next day, that we had an answer, or at least an element of an answer.”

A Project That Continues Over Time

For Toutext, the Odoo project does not stop at go-live.

The new database is a foundation on which the company can continue to build.

David knows that some things will still need to be refined and that new modules may be added over time.

“We are only at the beginning because we know there are still modules to install. But today, we really have business management that is not bad.”

The objective is to continue evolving Odoo gradually, according to the company’s real needs and the maturity of the teams.

“I am giving myself another two years of work with Clémence and Nalios to install more modules and go further.”

This vision is important in an ERP project.
