Aid and vouchers, invoiced to the right payer

Free add-on for Course & Activity School Management: public aid bodies, sport and culture voucher schemes, works councils and employers pay a part of the enrolments. Their part is invoiced to them, the rest to the family, and you follow what each organisation still owes. The add-on itself is free; the price shown on this listing is the one of the main app it requires.

What it adds

Every rule of the scheme, applied on the invoice

Organisations

Public aid body, voucher scheme, works council, employer or other: invoiced contact, your agreement reference, payment terms, one invoice per family invoice or one per month, quarter, season or year.

Aid schemes

A percentage of the price or a fixed amount per enrolment, capped per child and per family for the season, for some disciplines or courses, an age range and a validity period.

Granted aids

Given to a family, one student or one enrolment, with the file reference, the amount granted and the proof document with its expiry. Approve it and the next invoices apply it.

Split invoices

The family invoice shows the full price and a paid by line per aid; the organisation part goes on the invoice of the organisation, per student and course. The totals always match the enrolments.

Credit notes

A withdrawal splits the prorated credit note between the family and the organisations, in proportion of what each paid. The caps are given back.

Vouchers

Numbers, issuer, face value, received date, linked enrolment. Use them to pay the family invoice, then follow them: received, submitted, reimbursed.

Follow-up

What each organisation still owes (open invoices and vouchers to recover), by age: not due, 1-30, 31-60, 61-90, over 90 days.

Statements

A PDF statement per organisation for a period: what was invoiced per student and course, the vouchers received and what is still due.

Generic

No national body is hard-coded and nothing is sent anywhere: you describe the rules of your local schemes yourself.

Rules

Percentages, fixed amounts, caps and proofs

The scheme holds the rules of the organisation. The aid granted to a family holds its decision and proof: without a valid proof on the invoice date, the aid is not applied and a warning tells you why.

Invoicing

The family pays its part, the fund pays the rest

Invoice the enrolments as usual. The family invoice keeps its instalments and shows what the organisation pays; the organisation collects the parts of all the families on one invoice per period, posted when the period is over.

Vouchers

Paper vouchers, tracked to the last cent

Register the vouchers handed in by the families, pay their invoice with them in two clicks (a payment in a dedicated vouchers journal), then submit them to the issuer and mark them reimbursed.

Reimbursements

Who owes you what, and since when

The follow-up lists the unpaid invoices of the organisations and the vouchers waiting for their reimbursement, by age. Print a statement for an organisation to support your reminder.

Under the hood

The details

Order of the aidsThe aids of an enrolment apply in the order of their scheme. Each one pays its percentage of the amount being invoiced, or its fixed amount minus what it already paid, limited by what is left to the family, the caps of the season and the amount granted.
Invoicing per termWith term invoicing, a percentage applies to each term; a fixed amount is taken on the first invoices until it is used up.
Fully paid enrolmentsWhen the organisations pay the whole enrolment, it does not appear on the family invoice at all.
PostingOrganisation invoices per period stay in draft while the period runs, even when the school posts its invoices; a daily job posts them when the period is over (or use Post Period Invoices).
AccountingStandard customer invoices, credit notes and payments. Organisation invoices are never counted in what a family owes or on its certificates. Vouchers go to a cash journal created at the first use (or the one you choose in the settings).
SecuritySecretaries record aids and vouchers; directors manage organisations and schemes. Multi-company record rules on every record.
Dependenciescourse_school only. English and French included.

Part of Course & Activity School Management

This add-on only works with the paid app Course & Activity School Management (technical name course_school), which holds the families, the courses, the enrolments, the pricing, the instalments and the invoicing. Search for it on the Odoo Apps Store. Limits: the membership fee is always paid by the family; amounts and caps are untaxed amounts; the reimbursement of vouchers by the issuer is recorded by hand (no connection to any organisation).
